Responsibilities
We’re seeking an organized, proactive Project Coordinator to serve as a key administrative partner to our Construction team. In this role, you’ll provide operational support to the Executive Vice President of Construction, Project Managers, Superintendents, and Project Engineers—helping us maintain efficient processes, clear communication, and seamless project execution. You’ll keep our teams aligned, our documentation accurate, and our field operations supported every step of the way.
Administrative & Operational Support
- Prepare, submit, and track check requests; coordinate approvals with Accounting and notarize payment documents.
- Draft, format, and distribute meeting agendas, AIA documents, and official meeting minutes.
- Maintain and update the Construction Policies & Procedures Manual.
Coordination & Scheduling
- Schedule required training for construction personnel, including OSHA, CPR, safety orientations, and site inspections.
- Coordinate project and recurring meetings, including financial reviews and safety sessions.
- Organize shipping, logistics, and distribution of materials, documentation, and safety equipment.
Project Documentation & Systems
- Maintain construction documentation, including drawings, bonds, licenses, Exhibit D files, and close-out binders.
- Administer Procore for contracts, change orders, user access, and subcontractor onboarding.
- Update Timberline and coordinate data entry for contracts, change orders, insurance status, and subcontract paperwork.
Support Project Teams
- Provide day-to-day support to Superintendents and Project Managers with document preparation and scheduling tasks.
- Support estimating with subcontractor prequalification documentation and tracking.
- Compile and distribute O&M manuals, warranties, and as-built documents for project close-out.
Team & Culture Activities
- Plan and coordinate company events, including logistics, catering, and educational sessions.
